In order to optimise access to the workspaces, the space booking system via Affluences is activated during the "blocus" (final preparations for exams) and exam periods. Anyone wishing to use a workspace is then required to make a booking using this system. The work and study spaces are only accessible to members of the ULB university community during this period.

The workspace booking system is active during final preparations for exams and exam periods. 

During these periods, it is compulsory to use the booking module if you wish to sit at a workspace. Once you are at the library, don't forget to validate your booking otherwise it will be automatically cancelled 20 minutes after the reserved time slot begins.

The libraries concerned are the following :

  • Simone Veil human sciences (sciences humaines Simone Veil)
  • science and technology (sciences et techniques)
  • health sciences (sciences de la santé)
  • law (droit)
  • architecture
  • pharmacy (pharmacie)
  • archives and special collections (archives et réserve précieuse)

The work and study spaces are only accessible to members of the ULB university community during these periods.

Workspace bookings can be made up to 3 days ahead in the  Affluences app, which also gives you an estimate of the library occupancy rate in real time.

You can also make your booking via the following web pages : You can choose the space you want to book and the length of the booking time slot (in periods of 30 minutes, from 30 minutes to 4 hours). To book a space, you will need to provide your ULB e-mail address. If you are a member of the ULB university community but don't yet have a ULB e-mail address, and want to book a space, please refer to the FAQ (in French).

When you make your first booking, you will need to validate the e-mail address used by clicking on a link that will be sent to you. In addition, each time you make a booking, you will receive a confirmation e-mail which we recommend that you keep..

Procedure to follow in the library - validating the booking

Once you are at the library, you will need to sit in the specific space you have booked. Labels on the tables show the space reference numbers (e.g. : NB.2NIV.054). You just need to follow the plans and instructions displayed on the premises.

Beforehand, to optimise the use of reserved spaces, you are required to scan one of the QR codes displayed on the signs or tables. Please note: any booking not validated on site will be automatically cancelled 20 minutes before the start of the reserved time slot.

icon This step must be taken at the start of each booking slot, even with consecutive slots. Thus, if you book a space on 29 November from 8.30 am to 12.30 pm and from 12.30 pm to 4.30 pm, you have to scan the QR code when you arrive at 8.30 am but also at 12.30 pm.
To scan a QR code, you will need a device (smartphone/tablet) with an internet connection. If you don't have one, please go to the S&SAME desk at the library to validate your booking.
How to scan the QR code?

Scanner QR In most cases, you can use the camera on your smartphone to scan the QR code. During the installation of Affluences, the application would have asked for permission to access the camera.

If you are unable to honour a booking you have made, make sure you cancel it. To do this, follow the link in the confirmation e-mail you have received. You can also cancel directly in the app. If you have booked several slots, remember to cancel all of them.

In any case, out of courtesy and respect for the other members of the university community, please do not abuse the booking system (making an excessive amount of bookings/cancellations, making several bookings and failing to honour them without cancelling them…)..
